Any form of information directly or indirectly traceable to a natural person is personal data. Examples of personal data processed by Koopman are:

- (Company) Name, contact or address details;

- Citizen service number;

- E-mail address and telephone number;

- Details of a device you have used to visit the website, such as IP address.

No special personal data is collected and/or processed by Koopman.

Purposes

1. With regard to the conclusion of a (potential) agreement, scheduling an interview, sending an offer or processing complaints, personal data will be processed by Koopman.

The legal basis for processing these personal details concerns: consent and execution of an agreement. This basis also applies to the phase before an agreement is concluded.

 

2. In order to invoice and collect invoices, Koopman will process personal data. These data will be retained in accordance with the statutory retention periods.

The legal basis for processing these personal data concerns: execution of an agreement and legal obligation.

 

3. When changes are made to the services, general conditions, privacy statement, other important matters or in order to protect property, protect privacy, hold someone liable for damage, properly secure and protect computer systems, fulfil duties of care for employees and/or customers, Koopman will process personal data for this purpose.

The legal basis to process these personal data concerns: legitimate interest.

Specific purposes

1. Visitor registration compound locations

Due to strict security requirements and in connection with emergencies, a visitor will be asked to identify themselves before entering a compound location of Koopman. A name and identity card number will be linked to a visitor's pass. Koopman does not retain personal data for longer than is necessary to achieve the purpose described in this privacy statement. Koopman also does not retain data for longer than is described in laws and regulations.

2. Information mailbox and telephone calls

Information mail messages received are read and dealt with as soon as possible. These mail messages are deleted after handling. Telephone calls are not recorded by Koopman.

3. Auditor app

The auditorapp is used for conducting quality audits digitally. This audit is necessary for proper process at the customer's premises. The data stored for the audit involves:

- Registration number of the truck;

- The specific number of the truck (car number);

- Quality assessment;

- Any photos taken during the audit.

In a central database, the said data is stored and used for analysis and quality purposes for assessing partners and charters.

4. Charterapp

The charter app is used for sending ride orders and the statuses of ride orders to partners and charters. Data is only collected in the app during the execution of a trip. The driver activates the app himself at the times of loading and unloading. The data stored for the charter app concerns:

- Loading and unloading locations;

- Truck registration number;

- The VIN numbers of the vehicles to be transported;

- The customer names;

- The location names and location addresses;

- The name of the driver.

In a central database, the aforementioned data is stored and used for analysis and quality purposes.

5. Camera surveillance

To guarantee the safety of employees and visitors and to monitor customers' goods, cameras are installed at various Koopman locations. The camera images are automatically deleted after a period of 6 months or earlier if the camera images are overwritten.

Cookies and similar techniques

Koopman uses functional, analytical and tracking cookies with purely technical functionality so that the website works as intended. While visiting the website, these cookies are created and accessed by Koopman's systems.

Security of your data

Koopman has taken appropriate technical and organisational security measures to protect personal data from misuse, unlawful or unauthorised use and loss.

Transmission to partners

Koopman cooperates on the performance of agreements with various suppliers and partners who:

- Collect reviews;

- Handle email traffic and newsletters;

- Manage regular business email traffic;

- Handle payments & collections;

- Manage the software;

- Managing the Auditor app;

- Handling the web hosting;

- Handle the accounting;

- Performs the contract or delivers goods.

All parties that process or can view personal data for Koopman (sub-processors) sign a processor agreement or confidentiality agreement. Koopman only works with partners who can comply with the AVG legislation.

 

Transfer outside the EU

Koopman does not share personal data outside the EU or to an international organisation, unless specifically agreed with a data subject.

 

Logistical services

To execute the agreement, Koopman has collaborations with partners, charters or other hired third parties. In order to perform the work properly and achieve the objective, Koopman is required to share personal data with these third parties.

 

Cooperation with fiscal and legal investigations

In the event that Koopman is obliged on the grounds of a legal obligation to share personal data in connection with government fiscal or criminal investigations, Koopman will be forced to share data in such a case. Koopman will always first try to oppose this within the possibilities offered by law.

 

Retention period

Pursuant to the statutory retention obligation, data will be kept for a period of 7 years. This data retention time starts from the moment the assignment is completed for you. After the 7-year retention period, your data will be deleted, unless otherwise stipulated by law.

 

Your rights

As a data subject, you have the right to access, rectify, correct, have your personal data deleted or transferred. You also have the right to withdraw your consent to data processing or object to the processing of your personal data by Koopman.

A request to exercise your right should be sent to privacy@koopman.nl . Data processing will cease pending the resolution of your request or objection.

To ensure that the request for inspection has been made by you, Koopman requests that you send a copy of your proof of identity with the request. In this copy, black out your passport photo, passport number and Citizen Service Number (BSN). This is to protect your privacy. If your request relates to a cookie, Koopman asks that you also send this along with the request. Koopman will respond to your request as soon as possible, but at the latest within four weeks.

Koopman would also like to inform you that you have the option of submitting a complaint to the national supervisory authority, the Authority for Personal Data.

 

Reporting a data leak

If, despite all precautions, a data leak occurs, Koopman will comply with the data breach notification obligation and, if necessary, Koopman will report this data leak to the Personal Data Authority within 72 hours of its discovery. Should you discover a data leak, Koopman kindly requests that you share this with Koopman as soon as possible but in any case within 24 hours of discovering the data leak by sending an e-mail to privacy@koopman.nl , Koopman will then take action as soon as possible.

 

Liability

Koopman has no responsibility or liability for (the operation and/or content of) third-party websites or services. Otherwise, the rules of the AVG and the Civil Code apply.

 

Amendments to this statement

Koopman has the right to amend the content of this privacy statement at any time. This is partly to respond to new developments in the field of legislation and regulations or changes within the company. If the new privacy statement has consequences for the way data already collected is processed, you will be informed in good time. Koopman aims to publish the most recent version of the privacy statement on the website at all times.
